The Friction of Manual Client Onboarding

The first 24 hours after a client signs a contract are critical. If they have to wait 3 days for you to email them a Google Drive link, ask for assets, and set up communication channels, their initial excitement turns into buyer's remorse.

Previously, our manual onboarding process required 14 distinct repetitive steps across 5 browser tabs.

The 5-Step n8n Pipeline

Now, the moment a client approves their proposal or completes their payment, an n8n webhook executes:

1. Creates a private, branded Google Drive folder with predefined subfolders (`01_Brand_Assets`, `02_Copy_Docs`, `03_Staging_Logins`).

2. Duplicates a master Notion Client Portal dashboard containing project roadmap, milestones, and credentials vault.

3. Creates a dedicated Slack Connect channel (`#client-project-name`) and invites the client's project stakeholders.

4. Generates an encrypted 1Password guest vault for secure credential exchange.

5. Dispatches a personalized welcome email with their login credentials and calendar link for the kickoff call.

Automating Notion Workspace Provisioning via REST API

Using the Notion API block creation endpoints in n8n, we clone our battle-tested project management template and dynamically populate the client's name, contract budget, milestone deadlines, and contact information.

Automated Slack Connect Invitations

Rather than managing messy email threads, n8n invokes `conversations.create` on Slack's API, posts an introductory welcome checklist in the channel, and emails an automated invite to the client.
